JOB SUMMARY: Reporting directly to the VP, Controller; assist in providing a wide range of administrative and clerical support duties to the Controller. Assignments require knowledge of the industry, our business, and the Company’s practices and procedures.
JOB QUALIFICATIONS: AA degree preferred. Solid working knowledge of office processes and business policy a must. Three to five years prior experience in similar roles desired. Must be adaptable, flexible, and dependable in a fast-paced environment with excellent oral and written communication skills and proficient with computer applications including: MSWord, Excel, Outlook and PowerPoint. Proven inter-personal, cross-functional, and organizational skills required. Bi-lingual (Spanish) desirable. Maintain valid CA Driver License and eligibility for company- sponsored vehicle insurance. Flexibility in schedule will be required based on operational needs.
RESPONSIBILITIES INCLUDE:
ADMINISTRATIVE SUPPORT: Ensures the smooth and efficient operation of the Accounting Group. Is responsible for answering phone calls, ordering office supplies, managing the company plane schedule and flight itineraries, managing the company fleet vehicle program, and coordinating departmental visits, tours, and events. Other support may include keyboarding, composing and editing letters, taking meeting minutes, transcribing dictation, creating memoranda, data entry, filing, and manipulating presentations as well as conducting errands. Maintains a safe and professional work environment.
MEETING AND TRAVEL COORDINATION: Manages calendars, arranges meetings, appointments and travel plans. Coordinates meetings, social functions, seminars, travel, and hotel arrangements, and provides support for company wide events.
COMMUNICATION: Acts as a liaison between departments to coordinate activities so that deadlines are met. Perform other duties assigned by supervisor.
OTHER: Ensures the security of Driscoll’s proprietary and confidential information and material. Follows Company policies and practices while representing Driscoll’s in an ethical and business-like manner in all interactions. Performs other duties as assigned.
